An AI email writer drafts new emails, suggests replies and polishes what you have written. The best AI email writer is usually the one built into the inbox you already use: Gemini in Gmail or Copilot in Outlook. If you only need one email written, a free generator such as ChatGPT does the job well. Here is how eight options compare on published plans, rand prices and privacy.
AI email writers compared: price and inbox support
| Tool | Works in | Free option | Paid price |

Why Gemini in Gmail is the best AI email writer for most people
Gmail’s Help me write drafts a new email from a short prompt, such as a supplier follow-up or an invitation, or refines text you have already typed for tone and clarity. Formalize, Friendly and Shorten options sit in the prompt bar. Because it works inside the compose window, there is no copying between apps.
There is one catch for South Africans. Google makes Help me write available to free personal Google accounts in the US only. Here, you need an eligible Google AI or Google Workspace plan. Google AI Plus costs R104.99 a month and includes Gemini in Gmail and 400 GB of storage. For businesses, Google Workspace includes the Gemini assistant in Gmail from its Business Starter plan, at €6.80 a user a month on an annual plan. Google prices Workspace for South Africa in euros, so the rand cost moves with the exchange rate.
Copilot in Outlook: the pick for Microsoft 365 users
Draft with Copilot writes a reply or a new message from your prompt and the thread, and lets you change the tone or length before you keep it. Coaching by Copilot reviews a draft you have written for tone, clarity and reader sentiment.
For individuals, Copilot comes with Microsoft 365 Personal at R159 a month or R1,599 a year, which also includes Word, Excel and 1 TB of storage. Microsoft says that when you sign in to Outlook with that subscription, Copilot also works on other email accounts connected on the same device, including Gmail, Yahoo and iCloud, though not in classic Outlook for Windows. On a Family plan, only the subscription owner gets Copilot.
Business mailboxes are different. Existing Microsoft 365 business customers add Microsoft 365 Copilot Business, which Microsoft’s South African site lists from US$18 a user a month on an annual subscription until 31 December 2026, normally US$21 (about R294 or R343 before VAT).
Free AI email generator options
If you need one email written, a free AI email generator is enough. ChatGPT’s free plan writes strong drafts in any tone if you describe the situation or paste the email you are replying to. Mailmeteor’s free AI Email Writer needs no account at all. Grammarly’s free plan includes 100 AI prompts a month and works inside Gmail and Outlook. Claude’s free plan includes its Gmail connector, which can draft, reply and send with your approval.
You get a better draft by giving the tool the facts it cannot guess: who the email is to, what you want them to do, the deadline and the tone. Then read it before you send. An AI draft can add details, such as a date or an amount, that were never in your notes.
Dedicated AI email apps: Superhuman and Shortwave
Superhuman Mail and Shortwave replace your email app rather than adding AI to it. Superhuman works with Gmail and Microsoft 365 accounts and costs US$25 to US$40 a month (about R408 to R653 before VAT), with auto drafts on its Business plan. Shortwave is built around Gmail and Google Workspace, with a limited free plan and a US$18 Pro plan (about R294 before VAT). Both suit people who handle a very large volume of email. For most readers, the AI built into Gmail or Outlook is enough.
AI email and POPIA: what South African users should know
Email is full of personal information. POPIA’s definition of personal information includes email addresses and private correspondence, so an AI tool that reads customer emails is processing personal information.
- Personal use: POPIA does not apply to processing in the course of a purely personal or household activity, so using AI on your own personal email falls outside it.
- Business use: If your business uses AI on customer or staff emails, your business stays responsible. POPIA requires reasonable security measures, and a written contract with any provider that processes personal information on your behalf.
- Data leaving South Africa: Most of these tools process data abroad. POPIA allows transfers outside the country only under set conditions, for example where the recipient is bound by laws or agreements that give adequate protection, or where the person consents.
- Marketing emails: If you use an AI email generator for marketing, POPIA requires consent or an existing customer relationship, and every message must identify you and give an address to opt out.
In practice, prefer business plans with clear data terms. ChatGPT Business does not train on business data by default, and Anthropic says it does not train its models on Gmail connector data, although text you paste into a chat follows your chat training setting. Switch off training on consumer plans, keep ID numbers, health details and banking details out of prompts, and review every draft before it goes out. Anthropic also warns that emails can carry hidden instructions meant to manipulate an AI assistant, which is another reason to read before you send. For decisions about your own POPIA obligations, speak to a privacy professional.

Does Gmail have a free AI email writer in South Africa?

In South Africa you need an eligible plan, such as Google AI Plus at R104.99 a month, or a Google Workspace business plan, which includes the Gemini assistant in Gmail from its Business Starter plan.
Can Copilot in Outlook write emails for my Gmail account?
Yes, with a Microsoft 365 Personal, Family, Premium or Pro subscription. Microsoft says Copilot works on the email accounts connected in Outlook on the same device, including Gmail, Yahoo and iCloud, as long as connected experiences are switched on in Outlook's privacy settings. It is not available for connected accounts in classic Outlook for Windows.
Is it legal to use AI on customer emails under POPIA?
It can be, but your business stays responsible for the personal information in those emails. POPIA expects reasonable security measures, a written contract with any provider that processes the data for you, and lawful grounds for sending it outside South Africa. Use business plans with clear data terms, keep sensitive details out of prompts, and ask a privacy professional about your own setup.
Can AI send emails for me automatically?
Some tools can, but most are built to keep you in control. Claude's Gmail connector asks for your approval before it sends, and Claude for Outlook never sends mail on its own. Gmail's Help me write and Copilot in Outlook produce drafts that you send yourself. Keep it that way for anything that goes to a customer, and read every AI draft first.
